They are looking for a sharp, detail-driven Accounting Administrative Specialist to take charge of their bookkeeping and bring high-level support across multiple departments to keep their operation running smoothly and efficiently.

Essential Functions and Duties:

  • Support the finance manager with accounting tasks including bill entry, invoicing, estimating, expense tracking, reconciliations, and financial recordkeeping
  • Oversee office operations such as scheduling, email and phone communication, Dropbox file management, and travel coordination
  • Maintain compliance records for DOT fleet inspections and window/door certifications; assist fabrication teams and contractors with certification requirements
  • Coordinate procurement and logistics by generating purchase orders, negotiating with vendors, tracking deliveries, managing shipments (domestic and international), and maintaining inventory records
  • Handle customer service functions including inquiries, warranty claims, and small parts ordering; work with the service team to ensure accurate fulfillment and follow-up
  • Create and maintain documentation including reports, spreadsheets, and SOPs; collaborate with internal teams to improve administrative, marketing, and customer service processes


Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role
  • Strong organizational and multitasking skills
  • Strong knowledge of accounting principles and excellent understanding of QuickBooks Online
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Worksuite, Dropbox
  • Excellent communication and interpersonal skills
  • Prior experience in a construction or fenestration related industry preferred
  • Experience with International Freight preferred
  • High school diploma or equivalent; additional qualifications in office administration or related field are required
