Position Summary
The Administrative Assistant will play a key role in ensuring the smooth operation of our office and providing essential support to our leadership and field teams. This individual will answer incoming calls, manage daily administrative tasks, coordinate schedules, and maintain efficient communication between departments and clients. This role is integral to the company’s mission of providing exceptional customer service and seamless project execution.

Key Responsibilities

  • Act as the first point of contact for clients and team members, managing incoming calls, emails, and inquiries professionally and efficiently.
  • Maintain and organize office files, records, and documents, ensuring data accuracy and confidentiality.
  • Schedule and coordinate meetings, appointments, and travel arrangements for team members.
  • Assist with job scheduling, tracking progress, and ensuring timelines are met.
  • Prepare reports, presentations, and correspondence as needed.
  • Oversee office supplies inventory and place orders to ensure smooth operations.
  • Support the sales and field teams with administrative needs, including scheduling, data entry, and client communication.
  • Coordinate customer communication regarding scheduling, project updates, and post-project follow-ups.
  • Assist in maintaining compliance with local regulations and company policies.

 

Qualifications

  • High school diploma or equivalent.
  • Proven experience as an administrative assistant, office manager, or similar role.
  • Excellent organizational and time-management skills with the ability to multitask effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with CRM software.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and commitment to maintaining high standards of accuracy and professionalism.

 

Preferred Skills

  • Knowledge of the roofing or construction industry is a plus.
  • Experience with scheduling software and basic bookkeeping is advantageous.
  • Customer service experience and a solution-oriented mindset.
